Privacy Policy

Last updated

MountainWood Painting Corp. ("MountainWood Painting", "we", "us", or "our") is a painting company based in Collingwood, Ontario. This policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and the choices you have.

It covers information collected through our website and information you give us by phone, email, text, or in person when you ask for an estimate or hire us. We handle personal information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal privacy law for private businesses.

Who is responsible for your information

MountainWood Painting Corp. is responsible for the personal information under its control. Our Privacy Officer is Jake, the owner of MountainWood Painting. You can reach him at info@mountainwoodpainting.com or (705) 443-7205.

Information we collect

Information you give us

  • Contact details: your name, phone number, and email address.
  • Project details: the property address, the service you are interested in, a description of the work, and anything else you choose to tell us about your project.
  • Commercial and builder projects: your company name, your role, project timing, and any drawings, specifications, or other documents you send us.
  • Communications: emails, texts, and messages you send us, and notes from our calls and site visits.
  • If you hire us: quotes, contracts, invoices, and payment records.
  • Photos: photos we take of the surfaces we will be working on and of the finished work.

Information collected automatically

When you visit our website, some information is collected automatically by our website and the services that run it. This includes your IP address, browser and device type, the pages you view, the website that referred you, and the date and time of your visit. When you send us a form, we also record which page you sent it from and how you arrived at our website, for example from a search engine, an ad, or social media. See Cookies, analytics, and advertising below.

Information from other people

A builder, designer, property manager, or past customer may give us your contact details when they refer you to us. We may also see reviews you post publicly about our work, for example on Google.

How we use your information

We use personal information to:

  • respond to your enquiry and prepare estimates and written quotes;
  • schedule, carry out, and follow up on the work, including site visits, colour consultations, and the final walkthrough;
  • communicate with you by phone, email, and text about your enquiry or project;
  • invoice you and keep business records;
  • send you occasional updates or offers, where Canadian anti-spam law allows it (see Emails and text messages);
  • understand how our website is used, so we can improve it;
  • measure our advertising and show our ads to people who have visited our website; and
  • protect our business and meet our legal obligations.

If we want to use your personal information for a purpose not described in this policy, we will ask for your consent first.

Photos of our work and customer reviews

We photograph our work, and we may publish photos of completed projects on our website, on social media, and in our marketing. On our website, we identify projects by town or area, not by street address.

If you post a public review of our work, we may show it on our website with the name that appears on the review, including alongside photos of the project it describes.

If you would prefer that photos of your property or your review not appear on our website or social media accounts, contact us and we will remove them.

Who we share your information with

We do not sell your personal information. We share it only as described below.

Service providers. We use other companies to help us run our business and our website. They receive personal information only as needed to provide their services to us:

  • GoHighLevel: our customer management system, website forms, and email and text messaging.
  • Vercel: hosting for our website.
  • Google: Google Tag Manager and Google Analytics, which measure how our website is used.
  • Meta: the Meta Pixel, which measures and supports our Facebook and Instagram advertising.
  • Esri: the map images on our service area maps. Loading a map sends your IP address to Esri.
  • The providers of our email, phone, and business software.

Some of these companies, Google and Meta in particular, also use information collected through their tools for their own purposes, under their own privacy policies.

People involved in your project. If a builder, designer, or property manager referred you or is involved in your project, we may share project details with them as needed to coordinate the work.

Legal reasons. We may disclose personal information when the law requires or allows it, for example in response to a court order, or to protect our rights, property, or safety or that of others.

If the business changes hands. If our business is sold or merged, personal information may be transferred to the new owner, who must continue to protect it as described in this policy.

With your consent. We may share your information for any other purpose you agree to.

Where your information is stored

Some of our service providers store and process information outside Canada, mainly in the United States. While your information is outside Canada, it is subject to the laws of that country and may be accessible to its courts, law enforcement, and national security authorities.

Cookies, analytics, and advertising

Our website uses cookies and similar technologies. These are small files or pieces of code that let a website, or a service it uses, recognize your browser and record how the website is used.

  • Google Analytics, loaded through Google Tag Manager, tells us how visitors find and use our website: pages viewed, time on the site, device type, and approximate location based on IP address.
  • The Meta Pixel tells Meta when someone visits our website or sends us a form. This helps us measure our Facebook and Instagram ads and show our ads to people who have visited our website. If you have a Facebook or Instagram account, Meta may connect this activity to it.
  • Our form and hosting providers may also use cookies that are needed for the website and our forms to work.

Your choices:

  • You can block or delete cookies in your browser settings. Most of our website will still work, although our forms may not.
  • Google offers a browser add-on that stops Google Analytics from collecting information about your visits.
  • You can control the ads you see on Facebook and Instagram in your account's ad settings.
  • Our website does not currently respond to browser "Do Not Track" signals.

Emails and text messages

When you contact us or ask for an estimate, we will reply by phone, email, or text about your request and your project.

We send promotional messages, such as seasonal reminders or offers, only where Canada's Anti-Spam Legislation (CASL) allows it: for example, because you agreed to receive them, or because you recently asked us for an estimate or hired us. Every promotional email or text we send identifies us and includes a way to unsubscribe. Unsubscribing from promotional emails does not stop messages about a quote or project you have with us.

You can reply STOP to any text from us to stop receiving texts, or HELP for help. Message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with service providers who help us deliver our messages, such as our messaging platform. Text messaging opt-in data and consent will not be shared with any third parties for any other purpose.

How long we keep your information

We keep personal information for as long as we need it for the purposes described in this policy. That includes following up on past estimates, answering questions about work we have done, and keeping the business and tax records the law requires. When we no longer need it, we delete it or make it anonymous. You can ask us to delete your information at any time (see Your rights and choices).

How we protect your information

We protect personal information with safeguards suited to how sensitive it is. These include limiting access to the people who need it to do their work and using reputable service providers. No method of storing or sending information is completely secure, so we cannot guarantee absolute security.

If a breach of security involving your personal information creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada, as the law requires.

Your rights and choices

You can ask us to:

  • tell you what personal information we hold about you, and how we have used and shared it;
  • correct information that is inaccurate or incomplete;
  • delete your information, unless we need to keep it by law or to complete work you have asked us to do; and
  • stop using your information for a purpose you previously agreed to. Withdrawing your consent may mean we cannot provide an estimate or complete the work, and we will tell you if so.

To make a request, contact our Privacy Officer at info@mountainwoodpainting.com. We may need to confirm your identity before we act on it. We will respond within 30 days, or tell you within that time if we need longer and why.

Children

Our website and services are meant for adults arranging painting work. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we will delete it.

Our website links to other websites, such as Google, Facebook, and Instagram. Their own privacy policies apply when you visit them, and we are not responsible for how they handle your information.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed. If we make a significant change, we will make it clear on our website.
